At American Meetings, relationships are at the heart of everything we do. We’re passionate about partnering with our clients to create unforgettable experiences through innovative meeting solutions. With a global reach and a commitment to excellence, we bring together the brightest minds in the industry to deliver exceptional in-person, virtual, and hybrid events for the world’s leading organizations. We’re looking for people who share that passion — people who value relationships, care deeply about the experience they create, take pride in their work, and know that the little details can make a big difference.
What you’ll do:
As a remote Operations Support Coordinator for the Reconciliation and Compliance team, you’ll provide administrative, data entry, and transactional support. You will be responsible for maintaining accurate event information, organizing financial documentation, updating client-specific systems and templates, and assisting with the preparation of reconciliation files for financial review.
In this role you will:
Enter, update, and maintain event-related information in spreadsheets, internal systems, and client-specific templates.
Review data and supporting documentation for completeness, accuracy, and consistency.
Identify missing information, discrepancies, and exceptions, escalating issues to the appropriate team member for review and resolution.
Compile, organize, and prepare standard reconciliation files, reports, and supporting documentation for review by the Reconciliation Coordinator.
Assist with virtual credit card transaction documentation, transaction matching, and supporting record maintenance, as applicable.
Upload, organize, and maintain financial records and documentation within designated systems and shared files.
Perform data assignments, allocations, system updates, and other administrative reconciliation tasks as directed.
Assist with maintaining accurate compliance-related information in applicable systems.
Follow established procedures, workflows, and documentation standards to support consistency and accuracy.
Communicate effectively with team members regarding outstanding items, missing documentation, and assigned tasks.
Meet established productivity, accuracy, and turnaround expectations.
Maintain strict confidentiality and comply with all company data security, privacy, and information-handling policies during and after employment.
Who we’re looking for:
You’re an organized, detail-driven individual who takes pride in getting the details right and keeping things running smoothly. You enjoy working with numbers, multiple systems, financial records, and documentation, and thrive in a role where accuracy, consistency, and organization make a difference. You’re a proactive problem-solver who can spot missing or inconsistent information, manage detailed tasks with confidence, and keep everything on track. You work well independently in a remote environment while bringing a collaborative, team-oriented mindset to everything you do. If you love creating order, solving problems, and being an essential part of a successful operation, this job is for you!
You may currently hold the title of: Accounting Clerk, Payroll Clerk, Accounts Payable/Receivable Specialist, Payroll Assistant, Payment Services Specialist, Records Clerk or Administrative Assistant.
Don’t see your exact title here? That’s okay! We care more about what you can do than what you’ve been called. You might be coming from banking, healthcare billing, hospitality, retail operations, or somewhere else entirely. If you’ve worked with numbers, records, or data, and you take pride in getting the details right, we’d love to hear from you.
You'll need to have:
High school diploma or equivalent (GED)
Experience in data entry, administrative, financial, or records management roles
Intermediate proficiency in Microsoft Excel, including spreadsheet management and basic formulas
Even better if you have:
An Associate’s degree or higher in Business, Accounting, Finance, or a related field
