Position: Property Manager
Reports To: Director of Asset Management
Hours: 40/week
Position Summary:
Supports the Executive Property Manager in the day-to-day operations of the historic and award-winning Crosstown Concourse in midtown Memphis, TN. The Property Manager keeps routine operations, tenant requests, work orders, invoices, and lease records running accurately and on time, so the property management team can deliver concierge-level service to the tenants, residents, and guests of the Crosstown Concourse vertical urban village.
Responsibilities:
Leases. Abstract every lease and keep lease software current. Know the key terms of each lease (dates, options, rent steps, tenant obligations) well enough to answer questions and catch compliance issues before they become problems. Tenant requests. Own routine tenant requests from start to finish, including janitorial, card access, and general service requests. Log each one, route it to the right team, and confirm with the tenant when it is closed. Work orders. Open, track, and close maintenance work orders in the work order system. Serve as the first call for the Lead and Assistant Lead Maintenance Technicians, and keep the open-order list accurate and current. Inspections and insurance. Run the annual inspection schedule and track certificates of insurance for every tenant and vendor, following up until each one is current. Construction support. Review tenant and building construction work for lease compliance and report findings to the Executive Property Manager, who leads all construction projects. Clear escalation. Send tenant complaints, vendor issues, safety concerns, and staffing issues to the Executive Property Manager promptly, with the details documented. Process improvement. Find and fix gaps in how building systems, records, and workflows run. Write down procedures so the work is done the same way every time. Invoices. Process vendor invoices accurately and on time. Match each invoice to approved work and the right budget line before it is paid. Rent and billbacks. Start the monthly rent collection and billback process, track payments against the rent roll, and bring late or disputed balances to the Executive Property Manager with the facts organized. Budgets, CAM, and reporting. Enter and maintain budget line items, prepare CAM reconciliation data, and draft monthly reports for Crosstown ownership and the Crosstown Redevelopment Cooperative Association. The Executive Property Manager reviews and approves final numbers. Backup for the Executive Property Manager. When the Executive Property Manager is out, serve as the point of contact for internal teams (maintenance, accounting, visitor experience) and external partners (Crosstown department heads, tenants, vendors), and make sound decisions within established guidelines. Staffing input. Give input on hiring and performance of building staff. The Executive Property Manager makes final staffing decisions.

Willingness to educate tenants related to leases and building management and mentor staff to facilitate professional progress. Ability to prioritize, manage a high volume of information and tasks and keep multiple projects on track simultaneously, at varying levels of completion. Open to receiving criticism and feedback with an eye towards problem-solving and continuous improvement. Ability to accept and execute a wide range of tasks necessary to complete projects, including simple/basic tasks as well as highly detailed directives, regardless of scale. Ability to sustain close attention to an ongoing set of constantly emerging details unique to each situation, ranging from facilities needs to interpersonal requests from other staff and event participants. Ability to stay on task, working under pressure within given deadlines to problem-solve and proactively find solutions to obstacles in resourceful ways, seeing all projects through to completion. Ability to find joy and motivation in a satisfactory end-user experience for all tenants, residents, students and visitors.
Requirements:
- Bachelor’s degree 5+ years’ experience in property management (office, retail, hospitality, healthcare, education/campus)
- Strong knowledge of commercial lease language
- Strong knowledge of commercial real estate finance and building operations
- History of managing internal/external teams serving campus style environments (hotel, campus, hospital, etc.)Experience in community/non-profit engagement preferred
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. In-person work is required
Physical Requirements:

Once home to Memphis, Tennessee’s leading employer, the 1.5-million- square-foot Sears, Roebuck and Co. warehouse and retail store was abandoned in 1993 and stood vacant for more than 20 years, despite being one of the city’s largest, most iconic buildings.
