Apply for this role →Legal Assistant Rochester, New York Insero Talent Solutions has partnered with an established, boutique Rochester law firm searching for a Legal Assistant to join its dynamic team. This is an excellent opportunity for an experienced legal professional seeking long-term stability, responsibility, and the opportunity to become an integral part of a highly successful, close-knit practice. The Legal Assistant will provide daily administrative and legal support to two attorneys while serving as the primary in-office resource for the firm. This front-facing position is ideal for someone who takes pride in producing accurate, polished work, can independently manage priorities, and enjoys understanding the broader context behind their responsibilities, rather than simply completing individual tasks. This unique position includes a substantial Office Manager component and features substantial potential for advancement. The position also has a high degree of autonomy, and involves regular, direct contact with clients, vendors and others. The successful candidate will be the “face of the firm” to the public.
Key Responsibilities:
Provide comprehensive legal administrative and support to the firm’s attorneys. Prepare, format, proofread, edit, and distribute correspondence and other legal documents with a high degree of accuracy. Communicate with clients, attorneys, courts, vendors, and other outside parties. Maintain attorney calendars and proactively track important dates, deadlines, and follow-up items. Manage incoming and outgoing mail, deliveries, correspondence, and office communications. Maintain and update spreadsheets, records, physical files, and electronic files. Assist with attorney time entry and other billing and administrative processes. Coordinate court filings, document submissions, and other matter-related needs. Develop an understanding of ongoing client matters, to anticipate attorney/client needs, and prioritize responsibilities. Communicate regularly with both attorneys regarding projects and other issues. Maintain strict confidentiality and exercise sound judgment when handling sensitive client and firm information. Independently manage assigned responsibilities from start to finish, and proactively report back on completion.
Qualifications:
Associate's or bachelor's degree and/or paralegal certificate preferred. Commissioned NY Notary Public preferred. Relevant legal experience will be valued more heavily than formal education. Previous experience working in a legal or other professional environment required, as well as prior experience providing legal administrative assistance and support of litigation and transactional matters. Exceptional attention to detail and a demonstrated commitment to producing accurate, complete work. Strong writing, proofreading, editing, grammar, and written communication skills. Professional, personable, and confident communication skills. Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Self-motivated and capable of completing assignments independently with limited day-to-day supervision. Proactive approach with the ability to anticipate needs, recognize recurring responsibilities, and see the broader context of assigned work. Comfortable asking questions and seeking clarification/direction when needed. Strong judgment, discretion, and commitment to client confidentiality. Proficiency with Microsoft Office suite and comfort learning additional technology and systems.
