The role oversees the day-to-day operations of healthcare programs spanning provider networks, patient services, and regulatory compliance. This includes managing budgets, staffing plans, vendor contracts, and adherence to frameworks like HIPAA, CMS guidelines, and state licensure requirements. As healthcare delivery grows more complex, this position ensures clinical-adjacent operations run efficiently and stay audit-ready — translating regulatory requirements into workflows, metrics, and systems that support both care teams and leadership.
Key Responsibilities:
- Own operational workflows across scheduling, billing coordination, credentialing, and patient intake; document SOPs and drive continuous process improvements
- Ensure compliance with HIPAA, CMS, NCQA, and California state regulations; prepare and lead internal audits and external survey readiness reviews
- Manage departmental budgets of $2M+, tracking spend, forecasting variances, and reporting financial performance to leadership
- Oversee vendor and payer relationships, negotiating contracts and holding partners to service-level commitments
- Build and monitor KPI dashboards (utilization, patient satisfaction, claims turnaround, staffing ratios) using tools like Tableau or Power BIPartner with clinical leadership, HR, and IT to implement new systems — including EHR/HRIS platform changes and workflow automation
- Hire, train, and develop a team of 8-15 administrative staff, establishing performance standards and escalation protocols
What We Are Looking For:
- 4-7 years of healthcare administration experience in multi-site provider, payer, or health-tech environments
- Working knowledge of US healthcare regulations: HIPAA, CMS billing/compliance frameworks, and state licensing requirements
- Hands-on experience with EHR systems (Epic, Cerner, or similar) and practice management or credentialing platforms
- Demonstrated success managing operational budgets, vendor contracts, and cross-functional projects end-to-end
- Bachelor's degree in Healthcare Administration, Business, Public Health, or related field (Master's preferred: MHA, MBA, or MPH)
- Strong data literacy — able to build reports, interpret operational metrics, and present findings to executive stakeholders
Bonus:
FACHE or CPHIMS certification; experience with value-based care models or Medicare Advantage operations; Lean Six Sigma background
