Lab Administrator The Lab Administrator serves as the central coordination point for a busy quality control laboratory, ensuring smooth communication between lab personnel, vendors, contractors, production teams, and leadership. This role manages laboratory documentation, inventory, and scheduling while supporting audit readiness and compliance in a regulated environment. The position offers strong long-term growth potential, including future opportunities to move into laboratory leadership with oversight responsibilities for QC technicians.
Responsibilities: Serve as the primary communication link between laboratory staff, vendors, contractors, production teams, and management. Manage QC laboratory documentation and sample records to ensure accuracy, completeness, and compliance. Perform data entry and maintain spreadsheets, files, and other electronic records in an organized and accessible manner. Order laboratory supplies and maintain appropriate inventory levels to support uninterrupted lab operations. Coordinate equipment maintenance and schedule contractors for service, calibration, and repairs. Negotiate pricing and terms with vendors for lab supplies and services to support cost-effective operations. Track laboratory expenses and assist with budgeting activities and cost monitoring. Maintain training records and support training coordination for lab personnel and related staff. Support audit readiness and help maintain GMP documentation requirements and other regulated documentation needs. Keep the laboratory organized, orderly, and operating efficiently through strong administrative and organizational practices. Schedule laboratory meetings, coordinate administrative activities, and prepare related materials as needed. Communicate regularly and professionally with multiple departments and stakeholders to align priorities and resolve issues. Support sample management activities, including accessioning, archiving, report generation, and related documentation. Assist with lab management tasks such as document archiving, lab support operations, and general administrative support. Use typing and data processing skills to produce accurate reports and records in a timely manner. Essential Skills Strong administrative experience, preferably in a laboratory or technical environment. Excellent organization and multitasking skills with the ability to manage multiple priorities effectively. Strong written and verbal communication skills for clear, professional interaction with diverse stakeholders. Professional interpersonal skills and the ability to build positive relationships across departments. Comfort working directly with vendors, customers, and internal stakeholders. Proficiency with Microsoft Outlook, Excel, and Word. Ability to prioritize multiple tasks in a fast-paced environment. High attention to detail in documentation, data entry, and record keeping. Experience with laboratory support activities such as data entry, lab support, and lab management. Experience with sample management activities including processing, accessioning, archiving, and report generation. Accurate typing and data processing skills to support documentation and reporting.
Additional Skills & Qualifications: 2+ years of administrative experience (preferred). Experience supporting a laboratory, manufacturing, QC, QA, or GMP environment. Experience with inventory management, document control, scheduling, purchasing, or vendor coordination. Familiarity with FDA, ISO, GMP, or other regulated environments. Experience working in a lab environment or providing lab support is highly preferred. Exposure to sample management workflows, including accessioning and archiving, is a plus.
Work Environment: The Lab Administrator works primarily in a QC laboratory setting and collaborates closely with R&D, manufacturing, and other departments. The role involves frequent interaction with vendors and contractors, as well as regular use of Microsoft Outlook, Excel, Word, and other office and laboratory systems to manage documentation, scheduling, and inventory. The schedule is a standard Monday-Friday, first-shift position, supporting a structured workday in a professional lab environment. The laboratory operates in a regulated setting, with an emphasis on GMP and other compliance standards, providing a stable environment with long-term growth potential and opportunities to advance into leadership roles overseeing QC technicians. Job Type & Location This is a Contract to Hire position based out of Piedmont, SC.
Pay and Benefits: The pay range for this position is $20.00 - $22.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
