Apply for this role →We are looking for a Property Manager to be the go-to person for our tenants, vendors and properties. You will split your time between the office and the field, working alongside our Asset Manager and our maintenance team across a nineteen-property portfolio that runs from Chicago's West Loop, South Loop, Lincoln Park and Bucktown out to the western suburbs. What you'll do:
Tenants and vendors. Be the first call for tenant requests, schedule service vendors, and follow work orders through to completion. Onsite. Regular visits to our properties in the West Loop, the South Loop, Lincoln Park and Bucktown, and to our three western suburban shopping centers. Meet vendors and contractors on site, walk the work, and confirm it is done before it is paid. Time in the field is a big part of this role. Invoices. Code and enter property invoices in Yardi and PayScan, keeping payables current throughout the month. Utilities. Track utility accounts and usage across the portfolio and dig into anything unusual. Life safety and equipment compliance. Keep inspections and certifications on schedule, including fire extinguishers, backflow, alarm and sprinkler testing, and elevator certificates, using our maintenance tracking system. Vendor setup and insurance. Onboard new vendors, collect W-9s, and track certificates of insurance ahead of renewal. CAM and real estate tax reconciliations. Learn our reconciliation process and take on the annual common area maintenance and real estate tax reconciliations, with our Asset Manager reviewing. This is the most analytical part of the role and a great fit for someone who likes getting the details right. Institutionally owned property. Join quarterly owner meetings at one of our institutionally owned properties and follow that owner's operating policies. Property budgets. Build the annual property operating budgets and variance notes with our Asset Manager. Third-party managed properties. Join the weekly leasing and operations calls at two properties run by outside managers.
What we are looking for:
Three to five years in commercial property management or asset management support. This is a step up from an assistant role, with room to run the day to day early on.
Retail or commercial property management experience.
Some experience with CAM reconciliations, whether preparing or reviewing them. We will train you on ours.
Yardi, or a comparable property accounting system you can learn quickly.
Strong organization and follow-through. You enjoy keeping a calendar of dates and details on track.
Confidence working with vendors and contractors, including holding them to a schedule.
Solid Excel skills.
A reliable way to get to the properties. Visits are frequent and most are close by.
Nice to have:
experience with shopping centers or urban street retail, life safety and vendor compliance tracking, and comfort with budgets and variance reporting. How we work We are a small team that moves quickly and works closely together. We use AI tools every day, so routine lists like expiring certificates, invoice exceptions and inspection dates show up already compiled, and your time goes to solving problems and working with people rather than assembling spreadsheets. We work hybrid, two to three days a week in the office, with more in-office time while you learn the portfolio.
Pay and benefits
Salary:
$75,000 to $90,000, depending on experience. Health, dental and vision insurance, company-paid life and disability insurance, 401(k) with company match, paid vacation and personal days, and a discretionary annual bonus.
