Compensation: $90,000–$100,000 base + bonus + overtime
A leading private equity firm is seeking an experienced Executive Assistant to join its Chicago office. This is an excellent opportunity for a polished, proactive EA who enjoys being a true partner to senior executives while also contributing to the day-to-day operations of the office. The ideal candidate will have experience supporting senior-level professionals in a fast-paced, high-performance environment and will be comfortable managing complex calendars, travel, expenses, meetings, and changing priorities. Someone who genuinely enjoys being hands-on and helping create a seamless office experience will thrive in this position.
Responsibilities:
- Provide high-level administrative support to senior executives and members of the investment team
- Manage complex and frequently changing calendars, meetings, and appointments
- Coordinate domestic and international travel, including detailed itineraries and last-minute changes
- Prepare and process expense reports and other administrative documentation
- Coordinate internal and external meetings, conference rooms, catering, and related logistics
- Serve as a professional point of contact for executives, clients, visitors, and other stakeholders
- Anticipate executives' needs and proactively resolve scheduling or logistical issues
- Assist with day-to-day office operations, vendors, supplies, lunches, events, and facilities-related needs
- Partner with other administrative professionals to ensure seamless coverage and support across the office
- Handle confidential and sensitive information with discretion
- Assist with special projects and ad hoc requests as needed
Qualifications:
- Prior Executive Assistant or senior administrative support experience
- Experience supporting senior executives in a fast-paced professional environment
- Strong calendar management and travel coordination experience
- Excellent organizational skills with the ability to manage multiple competing priorities
- Polished, professional communication style and strong interpersonal skills
- Proactive and resourceful with the ability to anticipate needs
- Strong attention to detail and sound judgment
- Comfortable working both independently and collaboratively
- Willingness to assist with office management responsibilities and be hands-on when needed
- Proficiency with Microsoft Office, Outlook, and standard business technology
