About the Role: We are partnered with a leading Private Wealth Management firm seeking a highly organized and proactive Senior Administrative Associate to join their New York team. This individual will be a trusted business partner to Senior Executives, Wealth Advisors, and cross-functional stakeholders. They will provide senior-level administrative, operational, and project support across the Private Wealth Management platform. The role offers high visibility, ownership of complex workstreams, and exposure to both day-to-day operations and longer-term business initiatives.
What You’ll Do: Partner closely with senior leaders to manage priorities, anticipate needs, and make effective use of time Manage complex calendars, coordinate travel, and oversee logistics with accuracy, discretion, and diplomacy Coordinate senior-level internal and external meetings, conference calls, and events, including agendas, materials, and follow-up on action items Lead and support cross-functional projects, including planning, tracking deliverables, and ensuring timely execution Prepare and maintain high-quality presentations, reports, and spreadsheets for management reviews and client meetings Act as a liaison across departments such as Legal, Compliance, People, and Technology, as well as with external contacts and vendors Handle highly confidential matters with sound judgment and strict discretion Identify opportunities to improve processes, strengthen controls, and enhance operational efficiency Provide guidance and informal mentorship to junior administrative staff
What We’re Looking For: Bachelor's Degree, or an equivalent combination of education and experience 5–7 years of progressively responsible administrative, executive support, or business operations experience Investment management or professional services experience preferred Proven experience supporting senior-level leaders and managing high-visibility responsibilities Strong judgment, critical thinking, and the ability to anticipate issues and develop practical solutions Exceptional organizational skills, attention to detail, and follow-through Clear written and verbal communication, and comfort working with senior stakeholders and clients Advanced proficiency in Microsoft Office (Word, Excel, Power Point, Outlook)Ability to adapt quickly, manage ambiguity, and stay composed under pressure Flexibility to work outside standard business hours when needed
