Position Overview: The Executive Assistant will provide high-level administrative and organizational support to senior leaders and key members of the agency. This role requires someone who can anticipate needs, manage competing priorities, maintain complex schedules, and serve as a trusted point of contact across internal teams. The ideal candidate is polished, resourceful, detail-oriented, and comfortable operating in a fast-paced, deadline-driven creative environment. Responsibilities: Of The Executive Assistant Provide proactive administrative and executive support to senior leadership, department heads, and key team members. Manage complex calendars, coordinate meetings, schedule appointments, and resolve scheduling conflicts. Prepare meeting agendas, materials, presentations, decks, reports, and other executive-facing documents. Coordinate internal and external meetings, including conference rooms, video calls, and meeting logistics. Serve as a professional point of contact for internal teams, clients, vendors, and external partners. Coordinate domestic and occasional international travel arrangements, including itineraries, accommodations, and transportation. Assist with expense reporting, invoice tracking, and other administrative processes for senior staff. Monitor calendars, deadlines, follow-ups, and deliverables to ensure priorities stay on track. Anticipate executive needs and proactively address scheduling, logistical, and administrative requirements. Maintain organized digital files, contact databases, and confidential information. Support preparation for client meetings, presentations, events, and team off-sites. Assist with onboarding, team events, office logistics, and other operational initiatives. Manage day-to-day correspondence and internal communications as needed. Serve as a reliable resource for executives and team members, helping troubleshoot issues and keep projects moving. Take ownership of special projects and provide cross-functional support as priorities evolve. Required Experience/Skills For The Executive Assistant 3-5 years of experience in an Executive Assistant, Administrative Assistant, Coordinator, or similar support role. Strong calendar management and organizational skills. Excellent written and verbal communication skills. Ability to manage multiple priorities, shifting deadlines, and competing requests with professionalism. Strong attention to detail and follow-through. Proactive approach with the ability to anticipate needs rather than simply react to requests. Professional and polished demeanor when interacting with executives, clients, and external contacts. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Power Point. Ability to handle sensitive and confidential information with discretion. Comfortable working independently while collaborating across multiple teams. Preferred Experience/Skills For The Executive Assistant Prior experience supporting executives, senior leadership, or department heads. Experience within a marketing, advertising, PR, media, entertainment, or creative agency environment. Familiarity with Slack, Google Workspace, Asana, or similar collaboration and project-management platforms. Experience coordinating travel, meetings, events, and executive schedules. Interest in creative industries, branding, media, and advertising. Experience working in a high-volume environment where priorities can shift quickly.
Education Requirements: Bachelor’s degree preferred.
