Administrative Assistant/Client Service Associate
Job Description: Crescent Sterling, Ltd. is seeking a detail-oriented and proactive Administrative Assistant / Client Service Associate with financial services experience to join our team. In this multi-faceted role, you will deliver exceptional services to our high-net-worth clients, support daily operations, and provide high-level administrative support to executive leadership. Full-time on-site position.
Key Responsibilities: Client Service & Custodial Support: Process client onboarding, account openings, transfers, cash movements, and maintenance requests in coordination with custodians. Prepare client reports, meeting materials, and presentation binders for advisor reviews. Perform portfolio accounting, custodial reconciliation, manual transaction entries, and performance reporting. Maintain and update client databases and records to ensure complete accuracy and compliance. Manage phone calls, greet clients, and handle professional client communications. Office & Administrative Operations: Provide administrative and clerical support to the office and leadership team. Draft, proofread, and format correspondence, client mailings, and administrative documents. Maintain office and breakroom supplies; manage office equipment servicing. Ensure a professional, well-organized, and welcoming office environment. Perform additional operational duties and special projects as needed.
Qualifications & Skills
Experience: Minimum of 2 years of administrative support or client service experience required; prior experience with a Registered Investment Advisor (RIA) or Broker-Dealer is strongly preferred.
Education: High School Diploma or equivalent required; Bachelor’s degree in Business, Finance, or a related field preferred. Software Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, Power Point); familiarity with custodial platforms (e.g., Schwab Advisor Center) is a major plus. Experience with portfolio accounting software, specifically Portfolio Center (or similar programs), is strongly preferred. Accounting/Bookkeeping: Solid understanding of investment accounting principles (e.g., cost basis, transaction types) and/or basic accounting or bookkeeping procedures. Communication: Exceptional verbal and written communication skills with strong proofreading ability. Organization: Outstanding organizational and time-management skills with the ability to prioritize tasks independently in a fast-paced environment. Salary Approximate annual pay range - $48k/yr - $58k/yr
