Construction Accounts Receivable & Payroll Administrator
Location: New York City Metropolitan Area (On-Site) |
Compensation: $55,000–$60,000/year |
Level: Entry-Level / Junior (1–2 years experience)
About the Company: Our client is an established, fast-growing New York City construction firm with a robust pipeline of local projects. Known for their operational excellence and strong team culture, they are seeking a motivated professional to join their back-office financial operations team.
About the Role: We're looking for a Construction Accounts Receivable & Payroll Administrator to support the balance between project revenue collection and field team compensation. This is a great opportunity for someone early in their construction finance career who wants hands-on training in the mechanics of NYC construction billing, subcontractor compliance, and weekly trade payroll — you'll be learning directly from experienced team members, not figuring it out alone. Prior exposure to a construction, contracting, or project-based office environment is a plus, but we're just as interested in detail-oriented finance/accounting professionals who are eager to build specialized construction industry expertise.
Responsibilities:
  • Accounts Receivable & Project Billing (with training and support)
  • Help prepare and format project invoices, AIA-style monthly progress billings, and Time & Material (T&M) billings under the guidance of senior team members
  • Assist in tracking project compliance documentation — signed subcontracts, lien waivers, release forms, and Certificates of Insurance (COIs) — and help keep compliance folders organized
  • Monitor accounts receivable aging reports and support outreach to clients on outstanding payments
  • Help investigate and flag invoicing discrepancies, working alongside project managers and estimators to resolve them
  • Payroll Support & Timecard Administration
  • Collect and review weekly timesheets from field crews and office staff, checking that hours are allocated to the correct cost codes and jobs
  • Enter verified hours, overtime, and standard deductions into the payroll system as part of the weekly pay cycle, with oversight from senior payroll staff
  • Support compilation of certified payroll reports, union benefit fund reporting, and workers' comp audit documentation
  • Help facilitate new hire onboarding (W-4/I-9, direct deposit setup) and serve as a friendly point of contact for field staff questions about pay stubs and time tracking
  • Maintain discretion and confidentiality with sensitive financial and personnel data
Qualifications: 1–2 years of experience in accounts receivable, payroll, bookkeeping, or general office administration — construction industry exposure is a plus but not required
Required Skills:
  • Comfort with numbers and a strong eye for detail — you'll be catching missing signatures, mismatched paperwork, and math errors before they become bigger problems
  • Working proficiency in Microsoft Excel (sorting, basic formulas); any exposure to Sage 100 or construction ERP systems is a bonus, not expected
  • Professional, clear communication skills — you'll be talking with field supers, crews, and sometimes clients
  • A proactive learner who’s comfortable asking questions and picking up new systems
Preferred Skills: Prior exposure to a construction, contracting, or project-based office environment Pay range and compensation package
Salary: $55,000–$60,000/year
