Probate Paralegal / Legal Assistant
Position Overview: A well-established law firm is seeking a full-time Probate Paralegal / Legal Assistantto join its team. This position combines legal assistant and paralegal responsibilities, providing both administrative and substantive support to attorneys handlingprobate and trust administration matters .The ideal candidate is organized, detail-oriented, dependable, and able to manage multiple priorities while maintaining a high level of professionalism and client service. Probate & Trust Administration Responsibilities Assist attorneys with probate and trust administration matters from opening through closing. Prepare probate petitions, inventories, accountings, affidavits, and other legal and court documents. Gather and organize information regarding estate assets, liabilities, beneficiaries, and distributions. Communicate professionally with clients, personal representatives, beneficiaries, financial institutions, courts, and other third parties. Maintain probate timelines and monitor deadlines to ensure compliance with court requirements. Assist with estate administration tasks, including asset transfers and related documentation. Support attorneys with day-to-day case management and follow-up activities.
Additional Responsibilities: Maintain organized case files and client records in accordance with firm procedures. Monitor deadlines and ensure timely completion of assigned tasks. Schedule meetings, appointments, hearings, and other important deadlines. Assist with case management and workflow tracking. Perform general administrative duties, including filing, scanning, document management, and answering phones. Maintain strict confidentiality of client, financial, and firm information. Provide professional and responsive service to clients and other parties. Work independently while collaborating effectively with attorneys and other staff members.
Required Qualifications: Minimum 2 years of legal assistant, paralegal, or related legal experience. Experience preparing legal documents and maintaining legal files. Strong organizational, communication, and interpersonal skills. Excellent attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Strong problem-solving and critical-thinking skills. Proficiency with technology and the ability to quickly learn new software and case-management systems. Ability to work independently and as part of a team. Professionalism, initiative, reliability, and a strong work ethic.
Preferred Qualifications: Probate and/or trust administration experience. Paralegal education, training, or certification. Experience working directly with clients and handling confidential financial or estate-related information. Schedule Monday – Thursday: 8:00 a.m. – 5:00 p.m. Friday: 8:00 a.m. – 4:00 p.m. Optional summer schedule may be available.
