The Recruiting Assistant will play an integral role in supporting the firm's talent acquisition and onboarding efforts, with an initial emphasis on new hire onboarding and recruitment coordination. Working closely with the Talent Acquisition team, this individual will help facilitate a smooth and positive experience for candidates and new employees, coordinating onboarding activities, assisting with various stages of the recruitment process, and serving as a key point of contact throughout the hiring and onboarding experience. Responsibilities:
Coordinate the new hire onboarding process, including preparing necessary documentation, organizing orientation materials, and ensuring a smooth transition for incoming employees.
Arrange onboarding and training schedules, and lead in-person orientation sessions for new hires in the Rochester office.
Monitor onboarding milestones, maintain accurate records and checklists, and proactively address outstanding requirements.
Coordinate employee retention check-ins and assist with tracking feedback and follow-up activities.
Assist with employment eligibility verification, including I-9 documentation, compliance tracking, and internal audit preparation.
Identify opportunities to streamline and strengthen onboarding procedures, orientation programs, and the overall new hire experience.
Develop collaborative relationships with HR colleagues, hiring managers, employees, applicants, and external recruiting partners.
Provide administrative and operational support throughout the recruitment lifecycle, including posting open positions, reviewing applications, conducting initial candidate screenings, coordinating interviews, and facilitating reference and background checks.
Ensure recruiting records and candidate information are accurately maintained within the applicant tracking system, while assisting with job description revisions and internal approval processes.
Contribute to compensation research, market benchmarking, and the identification of new candidate sourcing channels and recruitment strategies.
Participate in additional HR initiatives, process improvements, and departmental projects as business needs evolve.
Requirements:
- Associate's degree in Human Resources or equivalent combination of education and experience, required 1+ year of onboarding, human resources, and/or recruiting experience, required
- Previous experience working within an HR department is strongly preferred.
- Familiarity with applicant tracking systems, HR information systems, and platforms such as Dayforce.
- Strong organizational skills, attention to detail, and the ability to maintain accurate documentation and records.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and related applications.
- Excellent interpersonal and communication skills, with a customer-service mindset and the ability to build positive working relationships across all levels of an organization.
- Ability to prioritize competing deadlines, adapt to changing needs, and manage multiple responsibilities in a deadline-driven environment.
- Professional judgment, discretion, and the ability to handle confidential employee and candidate information appropriately.
