Client Service Associate

About the Role: Our client is a comprehensive wealth management firm providing holistic financial planning and wealth management to individuals and families. The Client Service Associate supports all aspects of client service and wealth management operations, working closely with advisors and other team members to ensure requests are handled accurately and efficiently. The firm values someone who takes ownership, researches issues independently, and can be trusted to deliver an outcome rather than a series of tasks. Key Responsibilities:
  • Manage new account openings, ACATS and other transfers, account maintenance, distributions, and money movements
  • Own client service and operational requests from initiation through completion
  • Follow up with custodians, carriers, clients, and team members until pending items are resolved
  • Investigate discrepancies and delays independently, escalating with research done and a recommended next step
  • Provide advisors with regular status updates and flag issues before they become problems
  • Prepare materials, reports, and documentation for client review and financial planning meetings
  • Maintain accurate client records, service checklists, and written procedures
  • Support and train administrative team members on firm-wide service policies and procedures
  • Identify workflow /process improvements and help design, document, and maintain repeatable systems
Qualifications:
  • 2 plus years of client service or operations experience in an RIA, broker-dealer, wealth management firm, custodian, or similar (preferred)
  • Working knowledge of investment and retirement accounts, transfers, distributions, and money movements
  • Familiarity with NFS/Wealthscape, Kestra, Envestnet, Redtail CRM, Right Capital, or comparable platforms preferred
  • Technologically savvy with strong critical thinking, research, and problem-solving skills
  • Strong organizational skills with the ability to manage multiple open items through completion
  • Excellent written and verbal communication, professionalism, and discretion
  • A positive, people-first attitude and a genuine commitment to building strong relationships.
  • Insurance and workflow design experience a plus; insurance licensing expected within the first year What They Offer
