Job Title: Construction Bookkeeper (QuickBooks)

Job Overview: We are seeking an experienced, intermediate-level Construction Bookkeeper to take ownership of our financial record-keeping and project accounting. In this role, you will go beyond basic data entry to actively manage Work-in-Progress (WIP) schedules, execute detailed job costing, and ensure financial transparency across all active builds. The ideal candidate understands the unique financial demands of the construction industry and can leverage QuickBooks to keep our project management team informed and our budgets on track.
Key Responsibilities: Advanced Job Costing: Allocate direct and indirect expenses (materials, labor, equipment) to specific project phases in QuickBooks, continuously tracking actual costs against estimated budgets. Full-Cycle AP/AR: Manage Accounts Payable and Accounts Receivable, including processing AIA progress billings, managing retainage, and tracking lien waivers. Subcontractor Management: Verify and maintain subcontractor documentation, including W-9s and Certificates of Insurance (COIs), and process annual 1099s. Project Manager Collaboration: Work closely with the Project Management team to review job profitability, resolve budget variances, and ensure accurate, timely billing. Financial Reporting: Generate and analyze custom Work-in-Progress (WIP) schedules, monthly income statements, cash flow projections, and balance sheets. Reconciliation & Payroll: Perform detailed monthly bank and credit card reconciliations, and execute payroll with accurate labor burden allocations.
Qualifications: Targeted Experience: 3–5 years of dedicated bookkeeping experience, with at least 2 years specifically focused on the construction, trades, or contracting industry. Technical Proficiency: Intermediate to advanced skills in QuickBooks (experience with QuickBooks Desktop Contractor Edition or QuickBooks Online Advanced is highly preferred).Industry Knowledge: Deep understanding of construction accounting principles, including percentage-of-completion methodology and job costing best practices. Detail & Accuracy: High-level analytical skills with a proven ability to spot budget discrepancies, resolve complex billing issues, and generate custom financial statements.
Education: A degree in Accounting, Finance, or a related field is preferred. A QuickBooks ProAdvisor certification is a distinct advantage.
