Job Description: Wills Eye Hospital is hiring an Ocular Genetics Counseling Assistant in Philadelphia, PA. In this role, you’ll have the opportunity to assist in the clinic and work directly with the Ocular Genetic Program Manager to coordinate the operations of the Ocular Genetic service. This entails primarily administrative support, including scheduling, records retrieval, insurance verification and prior authorizations, and acts as primary contact for patients and families on many matters. The Ocular Genetics Counseling Assistant will learn medical aspects of both ophthalmology and genetics on the job to enhance proficiency, will assist in coordinating the team's work including trainees, diagnostic studies, and data base management, and will attend weekly team rounds (Tuesdays and Thursdays 7:15am-8:15am). This is a Part-Time, 24 hours per week opportunity for someone who wants to drive outcomes for patients, providers, staff, and the organization.

In this role, you’ll support patients, providers, and clinical teams while helping deliver high-quality ophthalmic care. You’ll manage coordinating patients, genetic testing operations, medical records and clinical support, and contribute to a positive patient experience. Key Responsibilities: Assists with completing new patient intakes. Retrieves outside patient records, follows up timely to ensure that records are available for review before patient’s scheduled appointment. Attends team meetings on Thursdays 7:15a.m. for case rounds. Obtains articles for team literature searches. Coordinates appointment schedules and maintains an organized log of waitlist for the ocular genetics clinic. Prepares the following documents (not limited to) for the Chief of Pediatrics & Ocular Genetics review, signature and dissemination: Disability verifications; Notes for school; Transportation notes. Coordinates specimen sample shipment for genetic testing adhering to prescribed protocol and tracks samples accordingly. Must have knowledge of, or strong desire to acquire knowledge of health insurance regulations in order to triage various insurance issues: Benefit Pre-verification; Authorization for genetic testing; Charity care referrals; Low Vision and other visual impairment referrals; Assist with appeals for genetic and diagnostic testing. Minimum Qualifications: High School Diploma or equivalent required. Ability to learn quickly and to work both independently and in a team environment required. Excellent oral and written communication skills required.
Preferred Qualifications: Bachelors’ Degree preferred. Previous experience working in a healthcare setting or science background preferred.
