POSITION SUMMARY:
The Portfolio Operations Manager will oversee the day-to-day operations and building maintenance performance of a portfolio of stabilized multi-family assets. Working closely with the Asset Management team, this role serves as the operational link between ownership and the on-site, third-party property management companies — ensuring properties are well-maintained, operating expenses are tracked against approved budgets, and each site is being managed to company standards. This is an ideal role for a multi-family operations professional who enjoys being in the field, has a strong grasp of building systems and maintenance best practices, and is comfortable holding third-party managers accountable to performance and financial targets.
KEY RESPONSIBILITIES:
Operations Oversight Oversee operational performance across a portfolio of stabilized assets managed by third-party property management companies Serve as the primary point of contact between the Asset Management team and on-site management teams Conduct regular site visits and physical inspections to assess property condition, curb appeal, unit turn quality, and overall maintenance standards Hold third-party managers accountable to company operating standards, policies, and service-level expectations Identify operational issues or risks at the property level and escalate or resolve as appropriate Building Maintenance & Capital Oversight Monitor the physical condition of assets, including building systems (HVAC, roofing, plumbing, electrical), life safety systems, and common areas Review preventive maintenance programs and ensure they are being properly implemented on-site Partner with the Asset Management team on capital improvement planning, prioritization, and project tracking Assist in vendor and contractor selection, oversight, and performance evaluation for maintenance and capital projects Financial & Budget Management Track and analyze monthly operating expenses against site budgets across the portfolio Review monthly financial packages and variance reports prepared by on-site/third-party managers Flag budget variances, identify root causes, and work with property teams to implement corrective action Support the annual budgeting process by providing operational input and historical expense trends Assist in identifying cost-saving opportunities and operational efficiencies across the portfolio Reporting & Communication Prepare regular operational and financial performance reports for the Asset Management team and ownership Communicate portfolio-wide operating trends, risks, and opportunities to leadership Maintain strong working relationships with third-party management companies to drive collaboration and accountabilityQUALIFICATIONSMinimum of 7 years of experience in multi-family property operations, property management, or asset management, ideally including exposure to stabilized assets Demonstrated experience overseeing or working closely with third-party property management companies Proven ability to manage multiple properties simultaneously, with experience overseeing a diverse portfolio of assets varying in size, age, and market Strong understanding of building systems, preventive maintenance programs, and capital project execution Solid financial acumen, including experience reviewing property-level financials, budgets, and variance reports Ability to build strong interpersonal relationships with site teams, foster a collaborative team-building environment, and influence without direct authority Excellent organizational and communication skills, capable of juggling varying priorities on a day-to-day basis Comfortable traveling regularly to properties within the portfolio Self-motivated, detail-oriented, and able to work both independently and as part of a broader asset management team Proficiency with property management software (e.g., Yardi, Real Page, Entrata) and Microsoft Excel preferred Bachelor's degree in Real Estate, Business, Property Management, Construction Management, or a related field preferred; equivalent experience will be considered Compensation$95,000 - $120,000 per year with bonus opportunities
