Job Description: HR Clerical Assistant Full Time | Temporary Monday - Friday, 7am - 3pm $20-$24/hour Norfolk We are recruiting for a local company who is searching for anHR Clerical Assistant. TheHR Clerical Assistantprovides comprehensive clerical, secretarial, and human resources support to the Central Administration staff. This position coordinates administrative activities, maintains accurate employee records and organizational databases, assists with employee onboarding and routine HR functions, and serves as a point of contact for employees, applicants, and school personnel. The position requires strong organizational, communication, customer service, and administrative skills, as well as the ability to handle confidential information with discretion.
Essential Duties and Responsibilities: Administrative and Office Support Plans, coordinates, and supports the successful completion of clerical, secretarial, human resources, and administrative activities for Central Administration. Assists with coordinating the daily activities and workflow of administrative support staff within the Central Administration building. Responds to a wide range of telephone and in-person inquiries from employees, applicants, and school personnel. Maintains school location information, employee listings, and division-wide contact directories. Provides front desk receptionist coverage, as needed, during routine breaks and lunch periods. Prepares, edits, and distributes professional correspondence, reports, records, memoranda, and other administrative documents. Establishes, organizes, and maintains extensive files and retrieves information for reports and other administrative needs. Human Resources Support Assists newly hired employees with completing initial employment paperwork and onboarding documentation. Prepares professional correspondence for new employees, including letters of intent, licensure-related correspondence, and other employment documents. Corresponds with employees and applicants via email and other appropriate communication methods regarding routine HR matters. Assists employees and applicants with questions and concerns related to position vacancies, leave, salary information, and other human resources processes. Researches employee records to identify discrepancies, resolve routine issues, and support accurate personnel documentation. Assists with tuition reimbursement requests, including receiving, organizing, tracking, and maintaining supporting documentation. Assists with workers' compensation administration, including maintaining records, coordinating documentation, and supporting communication related to claims and employee matters. Provides administrative assistance with employee records, personnel actions, and other HR processes as assigned. Records, Database, and Document Management Maintains HR databases, personnel documents, administrative records, and organizational files. Ensures employee records and other confidential information are organized, accurate, current, and maintained in accordance with established procedures. Gathers, compiles, and retrieves information from personnel files, databases, and other sources to prepare routine reports. Assists with developing, maintaining, and updating administrative processes, procedures, forms, and reference materials. Reviews documentation for completeness and accuracy and brings discrepancies or missing information to the attention of appropriate HR staff. Supports the preparation and maintenance of reports, correspondence, records, and other documents required for departmental operations. Customer Service and Communication Serves as a professional and responsive point of contact for employees, applicants, school personnel, and other individuals seeking HR or administrative assistance. Provides accurate routine information and refers complex, sensitive, or specialized matters to the appropriate HR representative. Maintains effective working relationships with employees, supervisors, administrators, and colleagues. Communicates professionally, courteously, and confidentially when handling employee information and HR-related inquiries. Knowledge, Skills, and Abilities Knowledge of general office practices, administrative procedures, and records management. Proficiency in Microsoft Office applications, electronic databases, email, and standard office equipment. Strong written and verbal communication skills. Excellent organizational skills, attention to detail, and the ability to manage multiple priorities. Ability to prepare professional correspondence, reports, and other written materials. Ability to maintain accurate records and handle confidential personnel information appropriately. Ability to exercise sound judgment, initiative, discretion, and professionalism. Strong interpersonal and customer service skills.
